Office Manager/ PA to MD and Family Office department
Accuro is actively seeking to recruit an Office Manager/PA to MD and Family Office department in the office of Accuro Trust (Switzerland) S.A. located in Geneva.
Within organisation: With all staff within the company at all levels.
Outside organisation: Clients and intermediaries.
Role and key responsibilities:
The role involves to:
Provide direct administrative and secretarial support to the Managing Director of Accuro Trust (Switzerland) SA, his team and the Family Office department based in London and Zurich (2 persons) with accurate production of documents, reports, letters, spreadsheets and presentations and file exploratory work. To undertake ad hoc projects as required.
Co-ordinate meetings, including recording of minutes, maintain diaries and planner records and organise travel bookings. To provide assistance to include screening telephone calls and messages and liaising with clients and intermediaries as required.
Assist with the production of PowerPoint presentations.
Assist MD with daily administration (include. Expenses reports).
Liaise with managers and colleagues in order to ensure that all necessary tasks are completed within required timescales.
Liaise and work with PA to CEO / Marketing/PR manager and provide support when appropriate.
Liaise and work with HR and provide support when appropriate.
Assist with reception lunchtime coverage when appropriate.
Core Skills and knowledge:
Minimum of 5 years relevant experience (secretarial/admin.);
Excellent communication skills in French and in English (oral and written);
Ability to deal with conflicting priorities and to work under pressure, remaining calm and polite;
Good knowledge of Microsoft Word, Excel and similar software;
- Attention to details, must be thorough.
Keeping a high standard of dress code and immaculate appearance;
Keeping a proactive, flexible “can do” approach to work, clients and colleagues; excellent customer service skills vis a vis clients;
Maintaining at all times a professional, mature, polite and courteous attitude;
Flexible and adaptable;
Willingness to work as part of a team;
Very punctual during reception hours, not leaving the position without replacement.
